Rental due diligence before signing
Distinguish residential, commercial and short-stay use before selecting contract terms: the applicable requirements and authorisations may differ. Match the contracting party to the title holder or a currently authorised representative. Record the unit address, condition, inventory, agreed use, rent currency, payment schedule, deposit and allocation of building charges in the signed agreement.
Evidence at handover
Prepare a dated handover report with photographs, meter readings, keys and existing defects. Keep the signed agreement, identity and authority verification, bank receipts, notices and written maintenance requests in a secure property file.
Rent collection and operating costs
Reconcile each contracted instalment with actual bank receipts. Maintain separate lines for overdue rent, vacancy, owner-paid repairs, building dues, management and insurance. Do not treat billed but uncollected rent as cash received or confuse gross rent with net operating income.
Renewal, disputes and exit
Check the current rules for rent changes, renewal, notices, deposits and termination for the specific contract and use type before taking action. Document notices and seek qualified local advice where rights are disputed; do not assume an online example states the rule applicable on the transaction date.
Owner checklist
Contract and authority verified; signed inventory; bank ledger reconciled; maintenance responsibility recorded; vacancy reserve estimated; renewal calendar maintained; privacy and access to tenant records controlled.
