Use the current application route
Closing control begins with the actual TKGM application workflow, not an old habit. TKGM’s July 2025 notice states that the former e-Randevu application route ended and sets out WebTapu/Alo 181 as the principal channels for the specified land-registry office groups, with limited in-person application treatment for group 4 offices. Therefore do not build a file around a generic “e-Randevu appointment number.” Record the real application channel, office, application/case reference, date and the notice or invitation produced by the current process.
Separate application date, invitation and transaction deadline
These are different events. The date the file was submitted does not necessarily equal the date the parties must attend or approve the transaction. Create a timeline showing application submission, requests for missing information, payment/fee notices, procedural invitation, any stated time window and the actual signing/registration event. Read the official message rather than inventing a universal validity period. If the office reschedules or asks for additional documents, log the new instruction and mark the previous timing as superseded.
Revalidate parties and representation near execution
Identity and authority can change after the application. Before the critical act, compare the persons who will appear or approve with the current application and documentary file. If a representative acts, confirm the power of attorney remains effective and covers the specific land-registry transaction. For corporate parties, refresh current representation evidence where necessary. A valid application does not freeze authority forever; if a signatory changes, the file must be rechecked before proceeding.
Control document freshness by function
Not every document has the same freshness rule. Identity documents must represent the current person, valuation material—where legally required—must satisfy the applicable rule, DASK must be in force for property where it is required, and any tax/fee information must match the current transaction. TKGM’s sale-document guidance should be used to identify the actual required material. Avoid a blanket statement that every document expires after the same number of days. Instead list each item, its source, its relevant date and the reason it remains acceptable.
Watch changes to the property or registry record
Between application and completion, a registry annotation, attachment, mortgage, identifier correction or other material entry can change the risk. A closing invitation is not a promise that the registry will remain unchanged. Recheck the current record at the point appropriate to the transaction and reconcile any material change before approval or payment. If the case is returned, suspended or amended by the office, preserve the system message and treat the timing control as reopened.
Tie fee and payment timing to official instructions
Land-registry fees and related amounts should be paid against the current case and official instructions, using the correct transaction reference. Do not prepay merely because an old message contains a number, and do not treat proof of fee payment as proof that title transfer has completed. If the payment deadline or amount changes, update the timeline and keep both old and new notices. The file should show when the fee became due, how it was paid and whether the transaction later reached registration.
Create a closing-day readiness checkpoint
Before the parties act, confirm the case is active, the intended office and property are correct, required documents are current, parties/representatives match, any official notice remains operative, fees or prerequisites required at that stage are satisfied, and no unresolved exception blocks completion. If a material element has expired or changed, stop and obtain the office’s current instruction rather than attempting to force the old schedule.
Record actual completion, not merely attendance
A buyer should not treat arrival at the office, an SMS, a fee receipt or a signed draft as equivalent to completed title transfer. Preserve the official result showing what transaction was registered and when. If the transaction did not complete, record the reason and the next valid action. Deadline control is successful only when it keeps the file aligned with the live official process from application through the final registry result.
