Classify documents by volatility: an original approved plan may remain a reference while restrictions, authority, insurance and valuation may require checks close to closing.

If a document expires or the facts it covers change, obtain a new version or revalidate it rather than editing dates or relying on an old image.
Document validity is not a single expiry rule. Some property records are snapshots that can become stale because the registry or parties change; other documents have an explicit validity period or are acceptable only for a particular procedure. For each item, record the issue or query date, the property and party identifiers, the issuing authority and the transaction step that relies on it. A document can be authentic yet unsuitable because it refers to an earlier owner, another independent unit or an outdated encumbrance position. Re-query changeable land-registry information close enough to the decision point to capture new annotations, mortgages or transfers. When a later version appears, preserve the earlier version and explain which one controls the current decision. The review should therefore distinguish authenticity, scope and freshness instead of marking every dated PDF simply “valid.”
Authenticity and freshness are separate questions. A genuine official document may still be unsuitable for the present transaction if it refers to an earlier owner, unit, status or validity period. Record the issuing authority and date, then check whether the document’s scope still matches the property and decision being made now.
